FuelWhere
Privacy Policy
Effective date: October 15, 2026
This Privacy Policy explains how FuelWhere collects, uses, and protects information through the FuelWhere marketing website at fuelwhere.com, FuelWhere mobile applications, the FuelWhere customer portal, and related products and services. It applies to website visitors, prospective customers, customer administrators, and employees who use FuelWhere authentication and fuel-access services.
Information we collect
We collect information that you voluntarily provide through our Request a Demo and Contact Us forms. Depending on the form you use, this may include:
- Your name
- Your company name
- Your email address
- The subject of your inquiry
- Comments or messages that you choose to submit
When a customer authorizes an employee to use the FuelWhere mobile application, FuelWhere may collect or process the employee's name, registered phone number, employee identifier, company association, and authentication records. Customer administrators are responsible for providing accurate employee account information and authorizing appropriate access.
When FuelWhere products and services are used, we may also process information needed to provide fuel-access controls and records, such as FuelLock and equipment identifiers, fueling-event timestamps, session status, connection mode, pump runtime, FuelZone information, and device-reported location and accuracy information.
Our website, mobile application, portal, and infrastructure providers may automatically process limited technical information, such as IP address, browser or device type, requested pages, timestamps, authentication events, and security or error logs. This information supports service delivery, reliability, troubleshooting, and security.
SMS authentication messages
FuelWhere uses registered employee phone numbers to send one-time SMS verification codes requested through the FuelWhere mobile application. These messages are transactional and are used only for authentication, account access, and security. FuelWhere does not send marketing or promotional SMS messages.
Message frequency varies based on the number of verification requests made by the user. Message and data rates may apply. Users may reply STOP to opt out or HELP for help. Opting out may prevent delivery of verification codes and therefore prevent mobile-application sign-in until SMS messaging is re-enabled.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
How we use information
We use information only for legitimate FuelWhere business and service purposes, including:
- Reviewing and responding to demonstration requests
- Responding to product, support, and general inquiries
- Understanding a prospective customer's business needs
- Creating and administering authorized customer accounts
- Sending one-time SMS verification codes
- Authenticating employees and protecting account access
- Providing FuelLock, FuelZone, portal, and event-record services
- Operating, protecting, troubleshooting, and improving our services
- Preventing spam, abuse, fraud, and security incidents
- Complying with applicable legal obligations
We do not use information submitted through our forms or SMS authentication flow to send unrelated third-party advertising.
How information is disclosed
FuelWhere does not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not share SMS opt-in data with third parties for their marketing purposes.
We may disclose information to service providers that help us operate the website, mobile application, customer portal, authentication services, and business communications. These providers may include:
- Vercel, which hosts and deploys the marketing website
- Cloudflare, which provides DNS, security, and email routing
- Resend, which sends website-form and support notifications
- Supabase, which provides authentication, database, and service infrastructure
- Twilio, which may process employee phone numbers and SMS delivery information as necessary to deliver one-time verification codes
- Our email provider, which stores messages delivered to our inbox
These providers process information only as needed to provide their services to FuelWhere. We may also disclose information when reasonably necessary to comply with law, protect FuelWhere or others, investigate misuse, or respond to a valid legal request.
Cookies and tracking
FuelWhere does not use advertising cookies or cross-site behavioral advertising on the marketing website. Our hosting, authentication, and security providers may use essential technologies or process technical request data to deliver, secure, and maintain the website and services.
Data retention
We retain form submissions, account information, authentication records, fueling-event records, and related correspondence for as long as reasonably necessary to provide FuelWhere services, respond to requests, maintain appropriate business and security records, resolve disputes, and comply with legal obligations or applicable customer agreements. We may delete or de-identify information when it is no longer reasonably needed.
Data security
We use reasonable administrative and technical measures intended to protect personal information. FuelWhere services use HTTPS encryption during transmission where applicable, and one-time verification codes are intended to help protect account access. However, no internet transmission, SMS delivery, or storage system can be guaranteed to be completely secure.
Your choices and requests
You may ask us to provide, correct, or delete personal information associated with you, subject to applicable law, customer administration requirements, and legitimate record-retention needs. We may need to verify your identity before completing a request, and certain information may be retained when required or permitted by law.
SMS recipients may reply STOP to opt out of authentication messages or HELP for help. For privacy questions, account assistance, or other requests, email support@fuelwhere.com.
Children's privacy
FuelWhere is intended for businesses and their authorized workforce users and is not directed to children under 13. We do not knowingly collect personal information from children through FuelWhere services.
Scope of this policy
This policy covers the public marketing website, FuelWhere mobile applications, the FuelWhere customer portal, SMS authentication, and related FuelWhere services. A customer agreement or service-specific notice may provide additional terms for a particular customer or feature. If a separate agreement applies, that agreement should be read together with this policy.
Changes to this policy
We may update this Privacy Policy as FuelWhere and its services evolve. When we make changes, we will post the revised policy on this page and update the effective date above.
